New rules and procedures
Due to the loss of a large number of library books, the board thought it's time to remind members of the rules for checking out books from the guild library.
The board has also voted to implement a new requirement for checking out books: members must show their ASQG membership cards when checking out books. The new check out procedure is not intended to be punitive. It is to ensure the library books can
continue to be available for all of the members of Annie’s Star Quilt Guild now and in the future.
Library use rules:
- Only ASQG members in good standing may check out library books. When checking out books members must present their ASQG
membership card.
- A maximum of three library books may be checked out to any one member at any given time. (i.e.: if a member checked out three books in October and returns two in November, then that member may check out only two books in November.)
- When checking out a book, Members must fill out the library card with the date, their name and phone number. THIS CARD MUST BE GIVEN TO THE LIBRARIAN BEFORE LEAVING THE LIBRARY AREA.
- All library books must be returned to the library at the Guild meeting, unless arrangements are made and permission given to the member by the librarian to return the book in some other fashion, such as dropping it off at one of the quilt shops in town.
- Books are checked out for one month. A member can "renew" the check out for one additional month by either calling the librarian or advising the librarian at next guild meeting.
- If the book has not been returned when due or after the end of the checkout extension, the librarian will call or email the guild
member. The librarian will document the date this was done and the member's response.
- If, at the fourth guild meeting, the book or books are still unreturned, the librarian will send out a letter asking the member to return it/them at the next meeting, to replace the book or books, or to reimburse the library for the cost of the book or books. If the member does not respond and the matter is not straightened out by the end of the next General Meeting, the letter will also inform the
member that the matter will be taken to the Board.
- If, after the fifth general meeting after checking out library books, a member has still not returned them or reimbursed the guild for their loss, the librarian will again send out a letter to the member and the matter will be taken to the Board. Possible actions by the Board against delinquent members can include suspension of membership status.
